Module 1 · The sheet that survives a handover Lesson 2 of 15
Formatting that carries meaning
Number formats, freeze panes and conditional formatting are not decoration. They are how a reader knows a column is money, a date or a percentage without being told.
The concept
Formatting in a work sheet is not decoration, it is communication: bold for a header, a thousand separator on money, one or two decimals on percentages, and a consistent date format. A reader should be able to tell a total from an input by looking, without a legend.
Two habits do most of it. Freeze the top row and the first column so the headers stay visible while you scroll. And use conditional formatting for the one thing you need to see fast — amounts under a threshold in red, blank cells highlighted — rather than colouring rows by hand, which goes stale as the data changes.
Freeze the header row and first column:
View -> Freeze Panes -> Freeze Panes
Conditional formatting for the one thing you must see fast:
Amount < 100 -> red
Blank cells -> yellow fill
Number formats: #,##0 . Rs#,##0 . 0.0%
(0.15 shown as 0.15 and not 15% makes every reader recalculate.)Common mistakes
Three sets of numbers are worth knowing: number, currency and percentage. A percentage cell that shows 0.15 instead of 15% makes every reader stop and recalculate, and one cell formatted wrongly among hundreds is what gets a sheet distrusted.
Worked example
Formatting 12000 as currency changes what the reader assumes; colour-scaling a margin column makes the bad rows find themselves. Merged cells, by contrast, break sorting and look identical in every screenshot on the internet.
Your practice task
Format one sheet properly: freeze the header row, set currency and percentage formats, and add a conditional format that highlights any value below target.
Do this before moving on. Reading a solution teaches the shape of it; typing it teaches you.
Key takeaway
Formatting in a work sheet is not decoration, it is communication: bold for a header, a thousand separator on money, one or two decimals on percentages, and a consistent date format.
