Module 3 · Files, tools and your own data Lesson 9 of 15
Working inside Word, Excel and Outlook — Microsoft Copilot's own feature
The whole point of Copilot in Microsoft 365 is that you do not leave the file. It drafts in Word, builds and explains formulas in Excel, summarises threads in Outlook and closes meetings in Teams — with your own documents as the context.
The concept
Every other assistant makes you copy text out of the file and paste it back. This one removes the copy-paste, and for people whose working day is Word and Excel, that is most of the difference.
Work inside the file, not beside it. Ask for a specific edit on a specific selection, keep track changes on until you trust it, and ask it afterwards what it changed and why. In Excel, always ask for the explanation, never just the result.
Here is the shape of it, in the form you will actually use:
=IFERROR(AVERAGEIFS(D:D, B:B, "CSE", C:C, ">=2024"), "")
What it does:
AVERAGEIFS averages column D where the branch in column B is "CSE"
and the year in column C is 2024 or later.
IFERROR returns a blank instead of #DIV/0! when no row matches.
What breaks: if column C holds text years ("2024 ") rather than numbers,
the comparison silently matches nothing — TRIM and VALUE it first.Common mistakes
The mistake is accepting a rewritten paragraph in a document somebody else will read without reading it yourself. The rewrite is confident, and confidence is not accuracy.
Worked example
In Word, "rewrite this section for a non-technical reader and cut it to 200 words" changes the document you are already editing, with track changes on.
Your practice task
Take one real document, one real spreadsheet and one real email thread. Do one useful thing in each, then undo it and do it again with a better instruction.
Do this before moving on. Reading a solution teaches the shape of it; typing it teaches you.
Key takeaway
Every other assistant makes you copy text out of the file and paste it back.
